RE: My Chief Financial Official (CFO) matters ORIGINATED: March 2009
Some of you are aware when you Go Here that I am a virtually deaf Chief Financial Official (CFO) of a Ministry called "Go Ye Mankind - GYM", who is a Christ-centered Evangelical Church with Christian Schools, a Camp or Retreat facility, plus some Radio/TV Ministries. You might think of GYM as "Gymnasium", but Jim Bee would say it rhymes with "Jim".
I am also GYM's specialized Missionary as I am under GYM's direction/control and fully financially and prayerfully supported by them. Our missionary ministry goal (as a specially trained CPA) is to assist smaller Christian Entities (primarily remotely) to establish and manage their fiscal affairs as they maximize their use of the Internet (and its resources) in this process.
Why --- because all too often " Bookkeepers and/or Treasurers" - Bee Tees, who serve smaller Christian Entities often have little formal accounting training. Particularly as they must account for their restricted monies with their applicable “Ministry Fund Accounting” principles and practices. A fundamental goal of GYM is to be the very best possible steward of its finances (even be a model, if you please) so that others can benefit from what we are doing or what we have learned from our internal experiences.
I do not have an office at GYM, since a good portion of my time is spent either at my office at home as a remote Missionary or I am on the road, so my relationship with GYM, as their Chief Financial Official (CFO), is within context of my having these overview responsibilities there as it my privilege to:- - - - - As needed or upon request - - - -
> Report directly to the voluntary "Board Treasurer" (my boss) and to the "Board Finance Committee or Ministry Finance Team - MFT" -- not to any Ministry staffer.
> Contribute to the effective use of the "QuickBooks Pro" software at "Go Ye Mankind - GYM" as it is used for unique "Ministry Fund Accounting" purposes.
> Contribute to the effective use of the accounting portion of our "DonaMail" software.
> Contribute as to how the "Finance Administrator" at GYM’s office meaningfully uses the overall-all accounting system (especially the above software) for meaningful accounting and reporting of their finances and for internal financial controls.
> Contribute in seeing that GYM has the applicable financial checks/balances and internal fiscal controls. This includes understanding and signing off on all "Journal Vouchers" and having the unopened "Bank Statements" come to me.
> Contribute to the contents and compliance of their written "Finance Policy and Procedures Manual"
> Regularly interact with the "Board Treasurer" and members of the "Board Finance Committee"
> Contribute to the identification and accomplishment of their "Most Important Finance Issues -- MIFIs".
> Contribute to the hiring and evaluation of the "Finance Administrator" or any other staff or volunteer finance person, etc.
> Interact with the folk at GYM who are responsible for the various Business Administration tasks as listed when you Click Here.
> Function almost as would an "Assuror" and maybe an "Internal Auditor" with respect to this Ministry's finance matters, or in general, assist in the goal of this Ministry being a good steward -- even such a model -- of its finance management.- - - - - - - Periodically - - - - -
> Review (often remotely) at any time their current "Internal Financial Statements"
> Am in contact and/or spend the necessary "In-person" time with the "Finance Administrator" plus any other Ministry official with regard to such finance matters.
> Identify or contribute to a variety of the Ministry's fiscal and/or related administrative special projects or assignments
> Contribute to the proper handling of abnormal or odd financial matters or transactions.
> Usually help in establishing a relevant agenda for the "Board Finance Committee" periodic meetings.
> Contribute to the understanding of the "Internal Financial Statements" by all who should know.- - - Annually - - - -
> Contribute to the Ministry having the least expensive annual "Compilation" relationship with their CPA-Audit firm. I produce "GAAP" compliant annual reports, etc.
> To insure that we are on target, the Ministry’s “Board Finance Committee” annually polls the user of my Missionary endeavors. They also independently have each of their members evaluate each aspect of this CFO job description
